The Booksy management team, together with the finance department, determined that a global financial and accounting system was needed for centralization and internal consolidation, which would integrate with other systems in each market where Booksy operates or plans to operate. Booksy considered implementing NetSuite, but ultimately Business Central proved to be a much more mature solution for the Polish market (this was concluded based on the list of scenarios prepared by Booksy users).
The analysis took about two months. Booksy teams from accounting, customer success, and operations areas were involved in working with the EIP (part of Digmatix) team. An important element of the implementation was the changes in the core system that allowed for the introduction of additional personalized functionalities. For instance, the standard functionalities did not account for prepayments for appointments, which required customization. Additionally, the Continia Expense Management and Continia Document Capture add-ons were used. These solutions help improve and control the policy for approving expenses and documents.
Microsoft Dynamics 365 Business Central allows for comprehensive management of a company operating in different markets in the form of various subsidiaries (multi-company structure). The client is preparing for expansion into various markets. The scalability of the business in different markets requires a certain level of standardization. According to the client (Booksy), without ensuring the alignment of tax, financial, and ultimately managerial reporting, the planned expansion would be impossible. Real-time data access and the use of visually appealing dashboards through integration with Power BI are also key advantages.
"The business case revealed differences that made it very easy for us to make a decision. When comparing the functionalities of the systems we were familiar with from the first round, in the second round, we realized the importance of the tool's familiarity, the implementation approach, and the cooperation model. Without a doubt, the winner was EIP Dynamics (part of Digmatix) and the Microsoft Dynamics 365 Business Central solution."
